Tips on moving office
Before you move office why not take a quick look at our range of helpful hints and tips on things you can do to make the transition to your new office easier.
Preparing for an office move:
One of the best things you can do to ensure your office removal goes smoothly is to plan in advance. Most businesses will have customers to keep happy and profits to make, so the longer you're in limbo the less you will be able to service your customers and operate at normal conditions.
To have a cost-efficient move you need to be time-efficient. The less time spent on moving office the more cost-efficient move you will have. To save time on your move make sure you familiarise yourself with your new office and it's surroundings. Are there stairs only or a service elevator that's available?
Make sure you take measurements to ensure all your office equipment such as desks and computers will fit where you want them to go. Creating a floor plan is a great way to make sure equipment is put in the right place at your new office. A floor plan will save on time for removalists as it will tell them where everything goes and how it should be positioned.
Communicate to everyone involved in the move:
When moving office it's really important that you keep everyone in the loop. Not just employees but the removalists, landlords etc. The more details you can give everybody the less likely things will be left to chance on the day.
If you have desks that are the same but belong to particular employees or need to go in certain areas, mark these with masking tape or labels to make it easier for everyone at the other end to ensure a safe and efficient move.
If you are a larger company and are moving into a building with multiple floors, mark furniture that needs to go on different floors with coloured labels. Level one with blue labels, level two with red etc.
Items to be moved:
Make sure that all items inside bookcases, desks, wall units and cupboards are packed into boxes prior to the move. Typically filing cabinets don't need to be emptied but they do need to be locked or secured with heavy packing tape or rope.
Desks:
Pack all the contents of desks into boxes. All smaller items like pencils, paper clips and other stationery items can be put into large envelopes and added to boxes. Working papers and other items that may need attention in the near future should go in one easily accessible box so when your desk is set up at your new office you know where your current work papers are.
Personal items:
Most removalists can't take responsibility for your personal items such as watches, legal papers, lighters, pictures, plants or fountain pens etc. Pack all these in a box and move them privately to ensure these items are protected.
Computers:
Computers should be packed and the associated cords and plugs taped together and labeled. This will ensure no confusion at the new office as to what plugs go where.
"Do Not Move" items:
There may be some items in your office that do not require moving or need to be handled in a specific way. If this is the case, clearly label these items so the removalists don't remove or move these items.
Rubbish removal:
Throwing away as much rubbish as you can prior to the move will help decrease the amount of boxes that need to be moved. If there is going to be a lot of rubbish, consider hiring a skip bin. Ensure that all employees are aware of the documents and items that shouldn't be thrown away.
Here's a simple checklist to make sure nothing gets left behind or overlooked:
- Desk empty?
- Supply cabinets cleared?
- File cabinets cleared?
- File drawers locked?
- Wall items taken down?
- Breakable items properly packed?
- Computers and other machines disconnected?
- "Do Not Move" tags placed?
- Liquids drained from equipment?
- Desk pads and chair pads labeled?
- Have a set of spare keys available.
- Make sure that your internet connection is ready to go and that phones and fax machines are working. The sooner you get back to work, the sooner you can continue working and making money
- Make sure the electricity works.
- Make sure the toilets work.
- Don't forget to throw away (or use as scratch paper) any old stationery that has your old address on it, and create new stationery with your new address on it.
